Program Duration

Approximately 3 months (depending on prior experience and pace of learning)

Detailed Training Plan

Phase 1: Introduction and Administrative Foundations (Weeks 1-3)

By the end of Phase 1, you will understand how to use the agency management system for foundational tasks, the importance of accuracy in documentation, and basic customer service processes.

  • Time Estimate: 2 days

    • Complete new hire paperwork and orientation.

    • Learn the basics of our agency management system, including:

      • Creating notations and reminders

      • Attaching documents

    • Understand file naming conventions and their importance.

  • Time Estimate: 2 days

    • Understand the importance of proper notation and documentation in the agency management system.

    • Utilize the agency management system reminder functionality to track pending tasks and ensure accuracy.

  • Time Estimate: 1 week

    • Answer calls and take detailed notes on customer requests.

    • Notate requests in the agency management system and create tasks for and relay to agents to handle them.

  • Time Estimate: 1 week

    • Monitor eFaxes received by the office.

    • Attach faxes to insureds' accounts in the agency management system.

    • Create notations and assign tasks to appropriate team members.

    • Mail renewal documents/letters to insureds and other important communications, such as substandard conditions and cancellation notifications.

    • Notate all mailed communications in the agency management system.

Progress Checkpoint:

At the end of Phase 1, meet with a mentor to review completed tasks and ensure understanding of the agency management system basics, E&O practices, and call-handling procedures.

Phase 2: Quoting and Policy Foundations (Weeks 4-6)

By the end of Phase 2, you will be proficient in property and auto insurance quoting and have a foundational understanding of policy coverages and lender requirements.

  • Time Estimate: 1 week

    • Research properties and prepare research documents.

    • Use gathered information to prepare homeowners insurance quotes via insurance company portals.

    • Understand the importance of gathering accurate risk information.

    • Learn about policy declarations pages and coverages:

      • Understand key coverages such as dwelling, liability, and loss of use.

      • Recognize the importance of lenders and mortgagee clauses and why they must be listed on a policy.

  • Time Estimate: 1 week

    • Research details related to auto insurance quotes (using RMV resources).

    • Prepare auto insurance quotes and create research documents.

    • Familiarize yourself with coverages in auto policies and the role of the RMV in auto insurance.

Progress Checkpoint:

At the end of Phase 2, meet with a mentor to review your research documents, quotes, and understanding of key policy elements and quoting processes.

Phase 3: Specialized Knowledge and Preparation for Licensing (Weeks 7-9)

By the end of Phase 3, you will be ready to take the Property and Casualty Insurance Licensing Exam and demonstrate advanced understanding of E&O practices.

  • Time Estimate: 2 weeks

    • Study for the exam at home using provided materials.

    • Take an online practice exam at the office to assess readiness.

    • Schedule and take the licensing exam (agency will pay for up to 2 attempts).

Progress Checkpoint:

After completing the licensing exam, meet with a mentor to discuss your exam experience and next steps for applying your new license to real-world tasks.

Phase 4: Post-Licensing Skill Development (Weeks 10-12)

By the end of Phase 4, you will be equipped to handle advanced tasks, including payments, certificates, and surplus lines policies.

  • Time Estimate: 2 weeks

    • Learn how to make payments for insureds and notate them in the agency management system.

    • Send digital signature documents and ensure proper notations in the agency management system.

  • Time Estimate: 1 week

    • Learn how to prepare and send insurance certificates.

    • Understand surplus lines policies and the BR7 form, including its importance for all surplus lines policies.

  • Time Estimate: 1 week

    • Learn the role of brokers in the industry and how to work with them effectively.

    • Shadow experienced agents during complex cases or applications.

Progress Checkpoint:

At the end of Phase 4, meet with a mentor to evaluate your readiness for full-time responsibilities and discuss career growth opportunities within the agency.
